Exchange Online Page
The Exchange Online page is where you configure all actions, or operations, that the Barracuda Cloud Archiving Service is to execute on your Microsoft 365 accounts. All import operations, from those that are recurring to those that are to be executed immediately, are defined and submitted from here, with all such actions and their results listed in the Scheduled Actions and Recent Actions sections of the page.
Scheduled Actions
Note the following:
Non-email sync and Sync shared mailboxes are always scheduled actions.
Email import is never a scheduled action.
Use this section to create and view scheduled Exchange Online operations:
Start new action – Click to define a new Exchange Online action using the workflow.
Select action page – Select the type of action to perform on the Exchange Online source.
Email import – Import all email from your Exchange Online source into the Barracuda Cloud Archiving Service that meets the specified criteria.
Non-email sync – Import only non-email Exchange Online items into the Barracuda Cloud Archiving Service from specified accounts including Appointments, Contacts, Tasks, and Notes.
Sync shared mailboxes – Synchronizes Exchange Online mailboxes that have been shared with other users; those users are then given the ability to search the shared mailboxes in the Barracuda Cloud Archiving Service.
Select source page – Add a new source or select an existing Exchange Online source.
Configure action page – Define an operation to perform on your Exchange Online source on items that meet the specified criteria you define in the workflow.
Scheduled Actions – This section displays a list of Exchange Online import and synchronization operations that are scheduled to be executed by the Barracuda Cloud Archiving Service. The following information about a submitted operation displays:
Label – Job identification.
Type – The action for this operation.
Source – Exchange Online source selected for this operation.
Status – The current status of the operation. Possible statuses include:
Started – Operation has launched, but has yet to begin processing.
In Progress – Operation is currently running and has begun processing relevant items. For long-running processes, a progress bar displays to show how far along the process is.
Completed – Operation has finished.
Queued – Operation is in queue, and will launch once all operations submitted prior to this one have completed execution.
Cancelled – Operation was cancelled from the Actions column. Click Resume to restart the action.
Failed – Operation completed execution but encountered errors. Click Report for additional details.
Actions – List of actions that can be performed on the listed operation. Not all actions are available for all entries at all times.
Details – Display the Exchange source and criteria information associated with this operation.
Run Now – Immediately run the operation.
Delete – Remove this entry for the specified operation.
Recent Actions
This section displays a list of Exchange Online import and synchronization operations that were initiated by the Barracuda Cloud Archiving Service. The following information about a submitted operation displays:
Label – Job identification.
Type – The action for this operation.
Start Time – The time this operation began execution. This field is blank if the operation has not yet launched.
End Time – The time this operation completed running. This field is blank until the operation has both launched and completed execution.
Status – The current status of the operation. Possible statuses include:
Started – Operation has launched, but has yet to begin processing.
In Progress – Operation is currently running and has begun processing relevant items. For long-running processes, a progress bar displays to show how far along the process is.
Completed – Operation has finished.
Queued – Operation is in queue, and will launch once all operations submitted prior to this one have completed execution.
Cancelled – Operation was cancelled from the Actions column. Click Resume to restart the action.

Details – Display the Exchange source and criteria information associated with this operation.
Retry – Retry an operation that has failed.
Retry Failed Users – Retry the users that failed for this operation.
Resume – Resume an operation that was cancelled.
Cancel – Cancel the operation. The operation may later be resumed if it is an import.
Report – Display a detailed summary of the completed operation in a new browser popup window. Content is available only for operations that have finished execution.
Delete – Remove this entry for the specified operation.
Recent Actions are automatically archived after 30 days and removed from the Recent Actions list.
Use the following steps to define a new Exchange Online source action:
Click Start new action to open the workflow. Select the type of action you want to perform on your Exchange source; the Select source page displays in the workflow.
In the Select source page, select whether to use an existing configuration or to create a new Exchange source configuration, and then click Continue.
The Configure action page displays. Use this page to customize the action, and then click Continue.
The View Summary page displays the Exchange source action details. Add a Label to identify the action. Note: Only one operation can run at any given time, so operations submitted while one is already in progress are placed in a queue for execution in the order submitted as soon as previous operations complete. All submitted operations are added to the Recent Actions list, with the most recent ones at the top.
Click Finish to add the action to the Recent actions table and close the workflow.
Define an operation to perform on your Exchange Online source on items that meet the specified criteria you define in the workflow. Select the Item Sources on which the specified action is to occur from the drop-down menu.
Email Import – Import email from the Exchange Online source into the Barracuda Cloud Archiving Service that meets the specified criteria.
Mailboxes – The set of mailboxes to process. More Information
Date – Date is defined to be either the date that the message was created on the Exchange Online source, or the date that appears in the "Date" field in Microsoft Outlook, whichever produces more results.
All Items – Process items from all dates.
By Date – Process items from a date range:
Between – All messages between a start and end date.
Before – All messages meeting the specified criteria that were sent before midnight (UTC) of the selected date.
After – All messages meeting the specified criteria that were sent after midnight (UTC) of the selected date.
Non-Email Sync – Import only non-email Exchange Online items into the Barracuda Cloud Archiving Service from specified accounts including Appointments, Contacts, Tasks, and Notes. To automatically select all available items for import, turn on all item types.
Sync shared mailboxes – Synchronizes Exchange Online mailboxes that have been shared with other users; those users are then given the ability to search the shared mailboxes in the Barracuda Cloud Archiving Service.
Select the items on which the specified actions are to be run from the Mailboxes drop-down on the Configure action page in the workflow when setting up a new action. Only one entry per field is allowed on sources that include an entry field, but the asterisk (*) character may be used as a wildcard. All text entries are case-insensitive:
All Users – All users residing on the Exchange Online source.
Email Address – Accounts whose email addresses match the entered text. Enter just the username portion to match all accounts across all domains resident on the Exchange source, or the complete email address (including the domain name portion) to restrict the search to a specific account on a specific domain.
Last Name – Users whose last names as configured on the Exchange source match the entered text.
Distribution List – All users that are a member of the specified Distribution List. Note that this option does not refer to any items that were sent to the List, but rather to the individual accounts themselves that would have received anything sent to that List. Nested Distribution Lists will be expanded out, so all members of any List that is a part of the one actually specified here are included.
Once you select the type of action you want to perform on your Exchange Online source in the workflow, the Select source page displays currently configured Exchange Online sources. From this page you can select from the following configuration options:
Existing Exchange Source Configuration – Select an Exchange Online source on which to perform the action, and click Next to use the current Exchange Online Source configuration. Additionally, you can select to:
Edit – Click to modify the configuration, and then click Save to update the Exchange Online Source configuration.
Delete – Click to remove the selected Exchange Online source configuration from the list.

Exchange Online
A new pop-up window prompts you to enter your Microsoft 365 administrator account login information from which Exchange Integration will process mail. Click Accept to authorize the Barracuda Cloud Archiving Service application to access your details.
Cancel – Cancel adding an Exchange Online source configuration.
